Personal data we use and collect

QPS Netherlands BV only collects the data that are necessary for your participation in medicinal products research. QPS Netherlands BV processes your personal data because you use our services and because you provide these data to us yourself when you register for participation in medicinal products research. We ask for your explicit consent to process your personal data. You can revoke this consent at any time.

Below is an overview of the personal data that we process during and after your registration:

  • First and last names
  • Gender
  • Date of birth
  • Address
  • Telephone number
  • Email address
  • Other personal and medical data you actively provide by completing the registration for participation in medicinal products research, in correspondence and by phone, to the extent necessary for QPS to process these data.
  • Information about your personal preferences for participating in medicinal products research at QPS.
  • Bank account number
  • Document number of your ID

We use a selection of these data, in combination with information about your online behaviour (website, email, social media) in online tools to communicate with you and to match our communication and marketing to your preferences. These data are used in marketing tools such as Facebook, Google, ActiveCampaign and Calendly (hosted both inside and outside the European Union). Based on your data and online behaviour, we use these tools to send messages with information about QPS, medicinal products research in general, ongoing studies and, more specifically, your registration. If you agree to the placing of all cookies, we will also match the online advertisements to your preferences and online behaviour.

From our websites and the aforementioned tools, your data end up in our secure CRM ClinSpark and in a secure Google Docs environment. These systems help us to process and follow up your registration.

The purposes and grounds for which we process personal data

QPS Netherlands BV processes the personal data provided for the following purposes:

  • To perform medicinal products research for which you have registered with QPS.
  • To send updates by email or text message, particularly about new studies.
  • To match communication and marketing to your personal preferences.
  • To be able to call or email you if this is necessary for your registration and participation in medicinal products research.
  • To inform you about changes in our services.
  • QPS Netherlands BV also processes personal data if we are legally obliged to do so, such as data that we must provide to the tax authorities for your tax return.

The ground for the aforementioned processing is the explicit consent you have given in the context of the agreement with QPS. This consent can be revoked at all times.

The retention period of personal data

QPS Netherlands BV stores the data you provide and the data obtained during studies in the database for at least 25 years. The data obtained by means of cookies and technologies with similar functionality are kept for a shorter period of time. Information about this will follow later in this privacy statement.

Automated decision-making

QPS Netherlands BV does not make decisions based on automated processing on matters that can have (significant) consequences for people. This concerns decisions that are taken by computer programmes or systems without involving a person (for example an employee of QPS Netherlands BV).

Sharing personal data with third parties

QPS Netherlands BV does not sell your data to third parties and will only provide them if this is necessary for the execution of our agreement with you or to comply with a legal obligation. We make data processing agreements with companies that process your data to ensure the same level of security and confidentiality of your personal data.

QPS Netherlands BV uses functional, analytical and tracking cookies for the websites. Accessing, adjusting or erasing data

You have the right to access or adjust your personal data, or to have these erased (if you do not participate in a study). You also have the right to withdraw your permission for the data processing, to object to the processing of your personal data by QPS Netherlands, and the right to data portability. This means that you may request us to provide you or an organisation designated by you with the personal data we have about you in a computer file.

You can send a request for access, correction, removal or data transfer of your personal data, the withdrawal of your permission, or an objection to the processing of your personal data to vrijwilligers@qps.com.

To be able to verify your identity, please include a copy of your identification document with the request. Black out your photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and citizen service number (BSN) in this copy. This is to protect your privacy. We will respond to your request as soon as possible, but within four weeks at the latest.

QPS Netherlands BV also wants to point out that you can file a complaint with the national supervisory authority, the Dutch Data Protection Authority. You can do so by means of this link. We would appreciate it if you report the complaint to us first, at privacy@qps.com. We will do everything we can to solve the problem with you.

Security of personal data

QPS Netherlands BV values the security of your personal data and takes the appropriate measures to prevent abuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration. If you are under the impression that your personal data are not secured well enough, or if there are signs of misuse, please contact us at privacy@qps.com or use the contact form on the website. QPS Netherlands BV has taken the following measures to protect your personal data:

  • TLS (formerly SSL). We send your data via a secure internet connection. You can see this by the ‘https’ and the padlock in the address bar. TLS is short for Transport Layer Security, an encryption protocol for the authentication and security of data sent on the internet.
  • Databases of QPS Netherlands BV that contain personal data have secure access. The data in these databases are only accessible to authorised QPS Netherlands BV employees.
